Meetings are important mediums for exchanging information at work. Organizations, enterprises and teams have pursued more efficient ways to meet for as long as meetings have existed. Cutting edge technology and practical experience have been brought together to build a more efficient way to meet based on Feishu Meetings and Docs: Feiyue Meetings.
Let's find out how Feiyue Meetings work by taking a look at the following scenario, a meeting from 10:00AM to 10:30AM.
09:50 - 10:00: Prepare Docs, organize topics and processes
Before the meeting, the host and participants summarize relevant topics to be discussed in the meeting Docs. They also attach relevant links, @mention relevant personnel, estimate how much discussion time each topic will require, and adjust document permissions.
10:00 - 10:05: Silent reading, comment questions and suggestions
The meeting starts. The host initiates the video meeting, shares the meeting Docs onto the screen, and begins silent reading time. Participants turn on free browsing mode on the meeting Docs and read individually. While reading, if someone has a question or suggestion, they highlight the corresponding text and post a comment.
Note: In this scenario, the silent reading time is 5 minutes. The duration can be adjusted depending on the length of the Docs and meeting duration.
10:05 - 10:25: Discuss topics in order and record key points
After silent reading, meeting discussions begin. The host will go through the topics summarized in the Docs one by one, and record key points from the discussion. During the discussion, emphasis can be placed on comments left by participants.
During the discussion, participants can turn on Follow presenter mode to closely follow the presenter's view and pace of discussion. Alternatively, participants can also choose to browse specific parts of the Docs at their own pace by switching to free browsing mode.
Need to add to or edit Docs information? Click the Docs being shared on screen, and you can edit the information right then and there.
10:25 - 10:30: Clarify conclusions, assign to-do leaders
After all topics have been discussed, the host summarizes the meeting conclusions and adds to-do items in the Docs (usually at the bottom of each topic or at the end of the document). For each to-do, the host sets a completion date and @mentions the relevant person in charge. Each @mentioned person checks and confirms their tasks, and the meeting is concluded.
10:30 - 11:00: Organize Docs and share with relevant colleagues
To keep meetings short and efficient, the host can choose to fill in meeting records, conclusions and to-dos after the meeting has ended. The organized Docs can then be sent to the meeting group chat so that those who didn't make it to the meeting can easily get up to speed. As tasks are completed, those responsible for each task update their progress on the Docs to avoid losing track of tasks after the meeting ends.
